MFA stands for Multi-Factor Authentication. It protects Microsoft 365 accounts by requiring more than just a password. This usually means approving a sign-in using the Microsoft Authenticator app, SMS, phone call or another approved method.

Why MFA matters

Email accounts are one of the most targeted parts of a business. If an attacker gets access to a mailbox, they may read private messages, send fraudulent invoices, reset passwords or impersonate your business. MFA makes account takeover much harder.

Common MFA prompts

  • Approval request in Microsoft Authenticator.
  • Six-digit code from an authenticator app.
  • SMS code.
  • Phone call verification.

Common problems

  • User changed phone and lost access to Authenticator.
  • Old number is still registered.
  • Sign-in is blocked because MFA setup was never completed.
  • Outlook is using an old profile or old authentication method.

Best practice

Every user should have at least one reliable MFA method configured. For business accounts, avoid relying on a single person’s phone where possible. Admin accounts should be especially well protected.
