An email alias lets a user receive mail at another address without creating a separate mailbox. For example, shaun@example.com could also receive mail sent to info@example.com if info is added as an alias.

When aliases are useful

  • One person needs several public email addresses.
  • A business changes address naming but wants old addresses to keep working.
  • A user needs role-based addresses such as sales@ or accounts@.
  • You want to reduce unnecessary extra mailboxes.

Aliases vs groups

An alias belongs to one user. A group can distribute messages to multiple users. If several people need to receive or reply from an address, a Google Group may be better than a single-user alias.

Important limitations

An alias is not a separate mailbox with its own password. It does not have separate storage. It is simply another address attached to an existing user.

Best practice

Use aliases for individual address variations, and groups for shared team addresses.
